Applications Process

Ready for some upgrades? Follow this process once you have decided on making an alteration on the outside of your house.

  1. Refer to the Community Standards as well as the CCR’s (Declaration of Covenants, Conditions, and Restrictions) to see what is allowed and what is not allowed.
  2. Start with your Lot Survey and indicate where the new alteration will be on the lot survey. This can be done on your computer, or if you have a hard copy, just use a highlighter or blue pen to indicate the location of the alteration. Ideally, this would be a plan view drawing on your Lot Survey.
  3. Provide a sketch or drawing of the construction or alteration to indicate what the alteration is and the size of it.
  4. Provide contractor information.
  5. Provide color swatches of the alteration or picture references so that the committee knows your alteration's color.
  6. Provide information on the type of material.
  7. Only one alteration per application.
  8. You can submit the completed alteration packet through Inframark Owner's Portal: Vantaca https://home.inframark.com/login

Please ensure the file types for your documents are one of the following:

File Types (best if it is *.pdf or *.jpeg): *.pdf,  *.doc, *.docx, *.xlsx, *.txt, *.csv, *.jpeg, *.png, *.tiff, *.tif

What happens next:

  1. Inframark will receive your application.
  2. Committee members will review the information to ensure all required information has been submitted.

Everything is in order:

  1. If everything is in order, the committee members will vote to approve.
  2. The committee chair will review this, and once they have voted to approve, an automatic email will be sent to the email address the homeowner submitted. Make sure the email address you provide is correct.
  3. The homeowner has six months from approval to complete the alteration.
  4. Once the alteration is completed, please email ac@sflhoa.com  so your alteration request can be closed out.

If more information is needed:

  1. If there is any missing information or questions regarding the alteration, an automatic email will be sent to the homeowner once the Committee chair has voted.
  2. The email received by the homeowner will indicate what is required and where that information can be sent.
  3. Inframark uploads new information, and the Architectural Committee will review it again.

How long does the process take?

  1. The Architectural Committee meets the first week of every month to review any problematic or difficult applications that potentially require the HOA board’s approval or input.
  2. Approximately every two weeks, the Architectural Committee reviews applications.
  3. If all the required information is provided, then an application should take at most 30 days for approval.
  4. If more information is required from the Architectural Committee, this process will take longer.
